FERPA & College Records

In 1974, Congress enacted the Family Educational Rights and Privacy Act (FERPA), which places restrictions on any school, college or university receiving federal funds over the release of student records. In this site, you'll find information on MCCCD's policies that were adopted to comply with FERPA requirements as well as other pertinent laws regarding access to other forms of official records.

FERPA Training

There are now two separate courses that fulfill different FERPA/student data access requirements. New employees should complete the courses required of their position within 30 days of their hire date.

The new version of the Information Security and Privacy Awareness course now contains a FERPA module.

  • All employees and POI’s (Persons of Interest) are automatically enrolled
  • Annual renewal requirement
  • Fulfills the old FERPA course requirement.
  • Login to the Employee Learn Center using MEID and password. Navigate to My Learning>My Learning Plans> Annual Information Security and Privacy Awareness.
  • Complete all three courses with an 80% or higher to fulfill this requirement.

FERPA: Level II – Role Access course has been developed for employees with higher-level access.

  • Residential faculty, POIs, and staff with access to the Student Information System (SIS) are required to take this course
  • Annual renewal requirement
  • Login to the Employee Learn Center using MEID and password. Navigate to My Learning>My Learning Plans> FERPA: Level II.
  • If you identify that either you or your staff have not been enrolled in the course, or if you have a new employee who needs to enroll in the course, you can follow the self-registration instructions.
  • Complete the course with an 80% or higher to fulfill this requirement.
